What goes on an HVAC invoice

An invoice answers one question: what did this money buy. Every field below exists because leaving it out makes that question harder to answer from the page alone, and a question that cannot be answered from the page becomes a call to you.

Invoice number INV-1042 Sequential and never reused. Your bookkeeper matches payments to this number, and a repeated number is a payment applied to the wrong job.
Trip charge Trip charge, first hour The charge for showing up, listed on its own line whether or not you waive it. Buried in the labor figure it looks like padding.
Diagnostic fee Diagnostic, system not cooling Separate from the trip charge, because they answer two different questions. One is for driving there, one is for finding out what is wrong.
Parts Capacitor 45/5 uF 440V One line per part with the part number. Not "parts". A part number is the difference between a bill that gets paid and a bill that gets a phone call.
Labor 1.5 hrs Hours at your rate, in the same units you quoted. If you quoted a flat repair price, say flat and skip the hours.
Warranty on this repair 90 days parts and labor on the work above How long, and on what: parts, labor, or both. Say it here and the answer exists in writing when he calls in five months.
Payment terms Due on receipt Due on receipt, net 15, net 30. Pick one and print it. "When you get a chance" is how a receivable becomes a write-off.
Late fee 1.5% per month after 30 days The monthly rate you charge past due, if you charge one. Check what your state allows before you print a number here.

Why the small lines are the important ones

Trip charge and diagnostic are two different things

One pays for driving there, the other pays for finding out what is wrong. Rolled together they look like a made up number, and a made up number is what people dispute. Split, they are two things he agreed to on the phone before you came out.

If you credit the trip charge against the repair, show the charge and the credit as two lines instead of quietly using a smaller number. He needs to see that you did the thing you said you would do. A discount nobody notices buys you nothing.

Part numbers, not "parts"

A line that says "parts, $340" invites him to price parts online tonight. A line that says the part with its number invites him to see that it is the right part. It also settles the question a year later when the same component fails and somebody has to work out whether it is still under warranty.

The warranty line is a sales line

Ninety days on parts and labor, printed on the bill, is worth more than the same promise made out loud. It tells him what happens if this repair does not hold, and it tells him what is not covered, which is every other fault in the same system. Both halves are useful. Only one of them is comfortable.

Two things that turn an invoice into a receivable

  • Terms that are a date, not a mood. Due on receipt, net 15, net 30. "Whenever you get a chance" is how a receivable becomes a write off, and it is also how you end up chasing your own customer, which neither of you enjoys.
  • An invoice number that is never reused. Your bookkeeper matches payments to that number. A duplicate number means a payment applied to the wrong job, and that error is found at year end, months after anyone remembers the job.

What should an HVAC invoice include?

An invoice number, the trip charge and diagnostic as separate lines, one line per part with its part number, labor, the warranty on that repair, and your payment terms. Part numbers and a separate trip charge are what stop the phone call asking what the money went to.

How soon should an HVAC contractor send the invoice?

The same day, and ideally before you leave. Collection rates drop with every day between the work and the bill, because the memory of the problem fades faster than the memory of the price. If you cannot bill on site, bill that evening while you still remember what you did.

Can I charge a late fee on an HVAC invoice?

In most states yes, within a cap, and only if the rate was disclosed before the work. That is why the late fee belongs on the invoice as printed text rather than being added later when something goes unpaid. Check your own state cap before you print a number, because an unenforceable rate is worse than none.
