HVAC Service Call Invoice Template

A service call invoice is a repair record that happens to ask for money. The fault code, what you found, and what you recommend but did not do today are the three lines that make it worth keeping, and they are the three that a general invoice form does not have anywhere to put.

What goes on a service call invoice

Below is the whole form. The money half looks like any other bill. The other half is a record of a visit, and it is the half you will be glad exists when the same system acts up next August.

Write findings, not opinions

"Low on charge" is a conclusion. "Subcool 2 degrees, suction line frosting at the service valve" is a finding, and a finding survives being read by someone else a year later, including you.

Record the fault code exactly as the board flashed it and add what the manufacturer calls it. Boards get replaced, homeowners forget, and the next technician on this system may be a stranger. Two lines of readings now is worth an hour of diagnosis later, and if the next technician is you, it is your own hour.

The recommendation line sells the next job

There is always something you noticed that is not broken yet. Rust at the heat exchanger seam. A contactor with pitting. A capacitor reading at the edge of tolerance. Write it down, with no pressure attached, in the section that says recommended and not done today.

This works better than a follow up call for a plain reason: it is a note, not a pitch. He reads it at his own kitchen table with the invoice in front of him and the memory of the failure still fresh. When that part does fail, the person who told him about it is the person he calls.

It also keeps you honest. Writing "worth watching" on a component that is fine is easy to do and hard to defend once it is printed with your name on it.

Warranty parts still cost you labor

A part in warranty is free from the manufacturer and not free from you. The drive, the diagnosis and the hour on the ladder are all still work. Show the part at zero with "in warranty" beside it and charge the labor on its own line. Both facts are then visible, and the customer can see he got the benefit of the warranty rather than suspecting he did not.

After hours is a rate, not a mood

Whatever premium you charge for a Sunday night, say it on the phone before you drive and print it as its own line afterwards. Merged into labor it just reads as an expensive repair. As a line called after hours premium, it reads as the thing he agreed to when he decided not to wait until Monday.

What goes on a service call invoice?

The trip charge and whether it was credited, the fault code, one or two plain sentences on what you found, the parts you replaced with their part numbers, time on site, anything you recommend but did not do, and a place for the customer to sign. The findings and the recommendation are what make this different from a general invoice.

Should a diagnostic fee be applied to the repair?

Either way works as long as it is decided before you drive out and printed on the invoice afterwards. If you do credit it, show the charge and the credit as two separate lines. A discount the customer never sees is money you gave away without getting the goodwill it was supposed to buy.

Why should the customer sign the service invoice?

It costs nothing and it settles a card dispute in one email. A signed line saying the work above was completed is the difference between a chargeback you can answer and one you cannot. It also ends the occasional conversation where a homeowner remembers agreeing to less than he agreed to.
